Bellerophon Module Breakdown
Each module can be divided into three categories, setup, functional and informational.
The setup screens are where static information pathways are created in order that other screens can work correctly.
The functional screens are where business process actions are carried out within the modules.
Finally, the informational screens are where data can be manipulated and viewed for managerial and analytical purposes.
All modules are live and refresh automatically for complete visibility and advanced up to date information.


Manufacturing
Setup

Unique Points

  • The factory order screens are live and show detail right down to Bill Of Material (BOM) level, this allows users to see exactly what is going on with an order, from the batch it was created in, the machine that produced the parts, and their positions and status within the factory. This is not static data, this is live and mobile data.
  • The forecasting screens allow users to accurately predict upcoming busy periods and react proactively. The Manufacturing Resource Planning (MRP) process usually carried out as a batch procedure at the end of a work cycle is done perpetually, helping to minimise downtime and efficiently manage stock levels.
  • The specialist optimisation screens work by drawing forward work and creating intelligent job lists to minimise raw material wastage. In one example wastage was reduced from 40% down to 4%

Analysis
Setup

  • The analysis module negates the necessity for paper reports, information is live and up to date and can be viewed from anywhere within the corporate I.T. infrastructure. Meetings can take place over the telephone with all parties viewing the same information at the same time. If something changes, everyone see’s the change.
  • User designed targets and performance analysis can be set up without the need for I.T. input or customised development.

 

C.R.M. (Customer Relationship Management)
Setup

Dispatch
Setup

  • Simple creation of vehicles and drivers, with unit capacity and range information for the automatic scheduling algorithm
  • Route creation using postcode data, towns and ordinance survey grid references. Waypoints are set up with a radial distance area to ensure full coverage.
  • Creation route schedules to plan the coverage of dispatch and the timing and spread of deliveries

Functional

  • Automatic order assignment on a route, based on capacity, factory capacity, location, schedule and order type.  Customers pick their own date.
  • Orders can be assigned and reassigned to routes manually when orders are outside the range or norm of the dispatch schedule
  • The schedule can be run over a year or modified perpetually as work dictates
  • Orders can be palletised, part dispatched, collections can be raised on delivery, products are barcoded on and off vehicles
  • Point of delivery POD is created at the point of delivery and signed for digitally on PDA barcode scanners.
  • The system is informed of the dispatch process automatically when the devices return to base and POD is attached to the factory order for an accounting audit trail
  • Collated items can be checked on and off as one item for ease of use of palletised goods

 
Informational

  • Expected deliveries and to follows can be seen live on a week view with full visibility down to the individual item level along with its status and progress through the factory for the advanced warning of problems.
  • Route coverage is plotted on a map to show holes in location coverage
  • Orders not assigned to routes can be seen and are prioritised by delivery date for reassignment
  • Creation of delivery notes and other documentation is centralised and fully automated, alerts are sent to Accounts through the systems advanced alerting function to process with invoicing

Unique Points

  • Customers can choose their own delivery dates and the system will automatically schedule them and drive the manufacturing process accordingly
  • Forward planning of the route scheduling creates a buffer for dispatch to stay ahead of the bottlenecks in delivery. Through capacity planning and dispatch scheduling the automation of build through to delivery can be fully controlled and time and money can be saved. When capacity is reaching the limit the orders are bumped onto the next available slot for delivery

Finance
Setup

  • Setup intricate and/or simple discount structures based on product type, dates, ranges, colours, with exclusions and much more. These can be applied to a single customer, customer type or groups of customers
  • Create Sales Outlets and their discounts from manufacturing in the same manner
  • Setup authorised users for purchasing, credit limits, annual spends and who they can authorise
  • Generate and manage cost centres to accurately account for purchased items for linking to accounts integration

Functional

  • Create / modify and manage sales orders, get a live delivery date, hold orders, make enquires or set up blanket orders to call off
  • Copy orders for commercial contracts or call offs , import orders directly from third party packages (Planit design package fully supported, others will require additional customisation)
  • Produce manual/collated/continuous purchase orders. All are checked and auto MRP is run each time to ensure supplier order criteria, order demand and stock level requirements are met
  • Create credit adjustments and credit notes
  • Produce invoice runs and individual invoices
  • Produce security codes for cross sales outlet ordering

 
Informational

  • View up to date information on the status of any order, right down to the bill of material of a product. Check in advance for any problems on an order

Customer Services
Setup

  • Setup departments with individual helpdesks, with specific fields and data capture points per department.
  • Setup custom fields including, text boxes, picking lists, drop downs
  • User access per department, but I.T. departments can access each helpdesk

Functional

  • Jobs can be assigned to an individual and alerts and requests are sent via system alerts using Bellerophon’s detailed alerting module and via optional emails
  • Jobs can be updated and a full and complete audit trial is tagged to the job. This included information regarding what was done, the time it was carried out and by whom
  • Job’s can be reassigned back and forth to various people; the audit trail is updated automatically
  • The jobs can be filtered by both the standard fields and the custom user defined fields

 
 
Informational

  • Statistical information about the success of failure of jobs completed in time.
  • Individual users can be monitored and their progress compared to others in a league table
  • Graphical charts depicting the percentage of jobs completed on time versus, overdue jobs and overdue jobs completed after the estimated due date has been changed to monitor anomalies.
  • Jobs can be plotted in an Outlook style calendar interface for easy viewing of the day, week or months tasks.

Unique Points

  • The ability to completely customise the helpdesk and setup departmentally specific screens.

HR & Training

Goods In
Setup

  • Setup goods in notes, these are barcoded and linked directly back to the purchase order so accounts are notified immediately when goods arrive in order to release payment

Functional

  • Goods can be received and checked in using either the screen or a mobile wireless barcode scanner
  • Goods expected screens are updated automatically so all relevant staff can see when goods arrive and what is still outstanding.
  • Stock levels are automatically adjusted
  • Multiple purchase orders can be received on a single GRN
  • Barcoded labels with internal part numbering can be printed for barcode tracking throughout the warehouse  / factory

  
Informational

  • Expected / Overdue items for each order spilt by supplier and plotted on a weekly chart view and are colour coded for live up to date information on incoming goods.
  • GRN’s and Delivery notes can be viewed and printed

Unique Points

  • Live up to date views of suppliers expected and overdue deliveries provides not only the ability to check if any orders items will arrive in time but can assist in the rescheduling of deliveries in advance or the reordering of products from an alternative supplier
  • The interactive week view provides not only an informational tool for viewing expected deliveries but gives the users the ability to change data as and when information is available.

Reporting
Reports are written in Crystal Reports v11 and can be easily added, searched and removed from the report store within Bellerophon; this means no additional folder access is required for users. The system has a full set of detailed reports but users can create and store their own reports if required.


User Options

  • *The system has a messaging system built in where system alerts are displayed when certain events occur within the system on a calendar view.  Also users can send messages to each other so that everyone can be kept up to date at any stage of an orders life. These messages appear at the bottom status bar with the users image as with the MSN style messenger tools.
  • The system has an internal Internet browser which logs all user activity for total system lockdown.

System Options

  • *System security is a combination of access level 1-10 and button level access for a user. So a user may have a certain access level but you can also specify is they are allowed to click any button within the system.
  • Upload your crystal reports direct to your SQLSERVER so that they can be accessed in the REPORTS section of the system.

Web Ordering

  • The system has a web based tool where external users can create sales orders which once created can be viewed instantly within the main system. The screens mimic the functionality of the main sales ordering systems and are particularly useful to companies which have agents or resellers.

Mobile Worker Modules
The system has a comprehensive barcode tracking system built in. This can control many functions of the system from factory order recognition, to delivery and pod. The system is live and runs over a standard wireless network configured specifically for use within a factory or warehouse environment.

  • Interim stock control can be run via the PDA barcode devices, the system is designed for and windows mobile enabled device.
  • Stock checking and stock taking can be carried out via the mobile modules and automatically adjusts stock as soon as the trigger is pressed to scan the barcode.
  • Drivers check on goods and are provided with picking lists on the scanners to take out on the truck.  The scanners work offline and when the vehicle returns to base and parks up, the devices send their data back to the system. If the vehicles return after hours the system is still updated via an external wireless antennae

Accounts Integration
The system can seamlessly send information to your accounts package *.
*This would depend on what package the company has, what data the package requires and in what format the data is stored. Once we have this information we will then create a specific link to it.
